Part-Time Executive Administrative Coordinator

Location: Newington, VA

CRAssociates. Inc. (CRA), a veteran-owned mid-sized healthcare management company that supports government and commercial based clients nationwide, has an exciting opportunity for a part-time Executive Administrative Coordinator to provide their expertise at our corporate office located outside of Springfield, Virginia! This is an  excellent opportunity for an experienced individual that has experience working with executive management within a corporate environment. 

We are seeking a mature, well rounded self starter who is capable of working independently, is detail oriented, and comfortable with interacting professionally with top level executives in a fast paced environment. The Executive Administrative Coordinator will report to the CFO, Executive Vice President of HR, and the Controller and work closely with all the executive staff. 

RESPONSIBILITIES:      

  • Organize and prioritize large volumes of information. Sort, file, and retrieve this information as requested.
  • Administrative management of the corporate commercial lines of insurance duties will include maintaining relationships with brokers, vendors, and internal customers.
  • represents the company as the point of contact with commercial contacts, brokers, vendors, and internal customers.
  • Maintain spreadsheets of contract terms, dates, and other relevant data.
  • Complete annual insurance applications and following through the renewal and submission process.
  • Type and design general correspondence, memos, charts, spreadsheets, tables, graphs, and business plans.
  • Make travel arrangements and complete expense reports and check requests as needed. 
  • Assist with the development of information for proposals including the assembly of price proposals, assist with pricing models, type and format documents, proof-reading, editing, create graphics, proposal assembly, packaging and mailing.
  • Coordinate and make arrangements for various meetings/conference calls, i.e. scheduling conference room, order meals, setup, etc.
  • Provide support and backup coverage to front desk as necessary.
  • Perform other duties as assigned 
QUALIFICATIONS:
  • Possess at least 3 years of executive level administrative experience preferred or equivalent experience as deemed by hiring manager.
  • Bachelors in business or equivalent.
  • Demonstrate proficiency in MS Office Suite and has the ability to create and maintain extensive spreadsheets. 
  • Excellent communication skills, both oral and written, and be able to operate office equipment including copiers, scanners, fax machines, postal machines and digital telephone systems.  
  • Ability to demonstrate sound organizational and office management skills, as well as the ability to book domestic and international travel, manage expense reporting and office filing, and plan for special events. 
  • Ability to establish and maintain effective working relationships in a corporate setting and work in a team environment.
  • At a company expense, become a notary public.
  •  Demonstrate ability to meet project deadlines.
  • Ability to maintain confidential information.
